Web advertVacancy ID 9726We are currently recruiting for a temporary Administrator to work onsite at one of our centrally based Colleges, the assignment is to start on the 1st November 2021 and last until 22/12/21, the hours would be 35 hrs p/w which may occasionally include some evening work, the pay will be £12.04 p/hDuties:
- Admissions Training records: checking tutors’ compliance and chasing interviewers who have not completed the necessary training before interviews commence.
- Miro virtual whiteboards: granting Miro access to tutors and creating virtual whiteboards for each interview.
- Sending out pre-reading and related materials: creating individual emails and sending them out with the required attachments at the correct time (at the start of a specified window before each interview).
- Printing, photocopying and sending deselection letters.
- Working with Admissions staff to log, scan and upload written work to ADSS, under considerable time pressure.
- Working with Admissions staff to compile summoning spreadsheets and timetables.
Person specificationEssential- Proven experience of experience in Academic Administration within higher education, ideally having previously worked with Admissions

Fundraising
- Ensure the smooth running of the membership programme and the greatest possible impact for the department
- Working closely with colleagues to develop and implement strategies to increase and retain the number of members, minimising attrition and maximising the Friends’ contribution to the department, working with the team.
- Lead on the creation of new materials across the board, from membership recruitment leaflets to membership cards etc. to refresh the look and appeal of the programme
- Grow membership in line with agreed targets, including the recruitment of Friends at Patron level
- Keep up to date on, and implement, industry best practice for Membership, in particular by developing networks with other institutions and Libraries more broadly and through continued professional development. Benchmark against other similar programmes nationally
Administration
- Supervise and run the day to day membership, including managing membership subscriptions.
- Manage, develop and operate effective administrative systems and processes for Friends membership, using databases and other IT systems.
- Input into the development of any new systems which membership will operate or benefit from to ensure the requirements of the membership are fully met.
Communications
- Manage a comprehensive communications strategy for the Friends membership, to maximise engagement and income.
- Work closely with colleagues in IT and database roles to adhere to industry best practice in designing and delivering these communications. This includes mailings and creating digital and print marketing materials on collaboration with communications colleagues.
- As part of this, deliver an engaging twice-yearly newsletter through collaboration with Library colleagues. This will involve working on the style and visual impact of the newsletter and exploring its dissemination via email and other channels.
Events
- Work with the Friends Secretary to support their delivery of a programme of events, focussing on ROI, maximising engagement and co-ordinating with the Museum’s existing public programme. (This may involve some evening / weekend work.)
Finance
- Manage the financial duties required by the membership such as banking, keeping financial records updated etc including:
- Working with the team to manage direct debit payments and implement renewal systems
Promoting and encouraging Friends to purchase membership by direct debit
Governance
- Attend the twice yearly meetings of the Advisory Council, managing the agenda and minutes, and liaising with the Advisory Council Board members.
- Attend the six-weekly meeting of the internal stakeholder group, managing the agenda, minutes and reporting
- Provide regular membership reports to the Head of Development.
- Support and champion the Friends of the department within the department and wider university, ensuring the structure and operational support available promotes membership growth and income generation for the benefit of the department
- Share best practice with other university museums and collections within Oxford University.
Selection Criteria:
- A good level of general education, including a degree or equivalent
- Experience of working within a successful membership scheme or similar commercial venture
- Experience of implementing strategies to deliver retention and growth (ideally within a fundraising context)
- Significant experience of effective office administration
- IT literacy, with previous experience of using the Microsoft Office software packages, and databases (ideally Raiser’s Edge or similar)
- Excellent and extensive customer service experience
- A strong working knowledge of GDPR and Gift aid regulations and requirements
